Prudhomme Labs LLC ("Company," "we," "our," or "us") values your privacy. This Privacy Policy explains how we collect, use, and share information when you use our website and the Dingmail application (together, the "Services"). 1. Information We Collect

a. Account Information

  • When you create an account, you must sign in with Google OAuth.
  • We receive only your name and email address from Google.

b. Subscription and Payment Information

  • Subscriptions are managed by Stripe, Inc. ("Stripe").
  • We do not collect or store your payment card details.
  • We store only a Stripe customer ID to associate your account with your subscription.

c. Email Data

  • The App is an email client. Your email content and mailbox data are stored locally to your device.
  • We do not collect or store your emails on our servers, except as described below for AI chat functionality.
  • When you use AI chat features within Dingmail, relevant email data may be sent to third-party AI service providers (such as OpenAI and Anthropic) and stored in third-party vector database services to enable AI-powered responses and contextual understanding.

d. AI Chat Data

  • When you use the AI chat feature, conversations and relevant email data are sent to servers we administer and to third-party AI service providers.
  • These chat logs and associated email data are stored indefinitely on our servers and may be stored by third-party AI providers according to their retention policies.
  • Email data and chat interactions are also stored in third-party vector database services to enable contextual AI responses.
  • We use chat logs to debug issues, develop new features, and improve AI models, including training.
  • Third-party AI providers (such as OpenAI and Anthropic) may use this data according to their own privacy policies and data use practices.

e. Technical Information

We may automatically collect limited technical data, such as device type, operating system version, and error logs, to help improve the Services.

2. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Services.
  • Debug and resolve technical issues.
  • Train and improve AI systems.
  • Communicate with you about your account, subscription, or updates.
  • Enforce our Terms of Service.

3. How We Share Information

We do not sell your personal information. We may share information in the following ways:

Service Providers. With trusted third parties that perform services for us, including Google (authentication), Stripe (payments), and cloud hosting providers.

AI Service Providers. When you use AI chat features, we share relevant email data and conversation content with third-party AI service providers (such as OpenAI and Anthropic) to generate AI responses. We also share this data with third-party vector database services to maintain conversation context and improve AI performance.

Legal Compliance. If required by law, legal process, or government request.

Business Transfers. In the event of a merger, acquisition, or sale of assets.

4. Data Retention

  • Account data (name, email, Stripe ID) is retained for as long as your account is active.
  • AI chat logs are retained indefinitely on our servers.
  • Email data stored in vector databases for AI chat functionality is removed when you delete your account from Dingmail.
  • Data shared with third-party AI providers is subject to their respective retention policies.
  • Technical data is retained as needed for operational purposes.
  • If you close your account, we may retain certain records as required by law, for legitimate business purposes, or for training and product development.

5. Your Choices

Account Information. You may request deletion of your account by contacting us at support@trydingmail.com.

AI Chat Logs. Because chat logs are used to improve our systems, they are not deleted when you close your account. However, email data stored in vector databases for AI functionality will be removed when you delete your account.

Third-Party AI Services. Data shared with third-party AI providers is governed by their privacy policies. You may need to contact them directly regarding data deletion requests.

Communications. You may opt out of non-essential communications by following unsubscribe instructions in emails.

6. Security

We implement reasonable safeguards to protect your information. However, no system is completely secure, and we cannot guarantee the absolute security of your data.

7. Children's Privacy

We do not knowingly collect information from children under 13. If we become aware that we have collected information from a child without parental consent, we will delete it.

8. Third-Party Services

Our Services rely on third parties (Google, Stripe, cloud hosting providers, your email providers, and AI service providers such as OpenAI and Anthropic). Their privacy practices are governed by their own policies, not ours. By using Dingmail's AI chat features, you agree to the privacy policies and terms of service of these third-party AI providers. We encourage you to review their policies.
